Here we explain “what is a waitlist?” and how it’s used in VegasHikers. We also provide step by step instructions on How to Join a Waitlist for an event.
What is a Waitlist?
A waitlist is a queue for members who want to attend an event that has reached its attendee limit or as a way for organizers to manually approve all event attendees.
How is a Waitlist Used in VegasHikers?
There are two different ways for VegasHikers organizers to setup attendance for a hike or event. Both use the waitlist, but differently.
Set a Maximum Group Capacity
An organizer can set the maximum number of attendees accepted for their event. When an event reaches its attendee limit, a waitlist automatically activates, and members are placed on it in the order they tried to RSVP. If you are on the waitlist: You will receive an email notification when a spot opens up. You may need to respond within a certain timeframe, (for example, 12 hours) to claim the spot.
Send Everyone who RSVPs to the Waitlist
An organizer can set up an event so that everyone who RSVPs will automatically go to the waitlist. This is done so that they can see any messages the member sends to them and view their VegasHikers profile before they are manually added to the “going” list.
If RSVPs are closed, that means the number of people attending an event has reached capacity and you cannot join the waitlist.
Do not show up at the trailhead or meetup location the event if you are on the waitlist.
You must be on the official “Going” list to join the event.
How to Join a Waitlist
You can join a waitlist from the mobile app or desktop site:
- Open the event page.
- If the event is full, you’ll see a Join waitlist button instead of the usual RSVP option.
- Select Join waitlist to add your name. You’ll receive a confirmation that you are now waitlisted.
- You can leave the waitlist any time by changing your RSVP.

Notice that it says “0 spots left” to the left of the Join Waitlist button in the BEFORE image. Press the Join Waitlist button to add yourself to the waitlist.
In the AFTER image, it says “You’re Going” at the top and at the bottom beside the Edit Attendance option.
